Whistleblowing Channel for compliance with Corporate Policy
RISO is committed to conducting its business with integrity and in accordance with the law. This commitment to ethics, standards, and responsibility is reflected in its policies and procedures and in the implementation of this whistleblowing channel
RISO encourages employees or companies with actual knowledge or suspicion of misconduct, as well as any violation of legal or regulatory requirements, to raise or report such concerns without fear of sanctions, retaliation, or unfair treatment.
RISO takes concerns about misconduct or malpractice very seriously and expects any person or company that reports to do so in good faith. Reporting in good faith means honestly providing all known information about the matter and believing the report to be true. Reports made in bad faith or for misuse are inappropriate and constitute a violation of this policy, and can be very damaging to both the RISO organization and its employees and/or external collaborators.
Complaint Procedure

1.2 Anonymity and confidentiality: This channel is designed and managed to help protect the anonymity of informants, as well as the confidentiality of the information submitted.
Reports can be made anonymously. However, disclosing your identity is encouraged, as this allows the RISO Whistleblowing Channel team to investigate the issue more thoroughly and ensure the effectiveness of the investigation. Anonymous reporting should be the exception and only justified in cases of very sensitive issues.
Neither the identity of the informant, nor confidential information disclosed in a report or during an investigation, shall be disclosed to anyone other than those designated to receive, investigate, or resolve the issues in the report, unless:
- The informant consents to such disclosure.
- The disclosure is necessary to comply with state or local law (including legally required disclosure, such as a subpoena, court order, or other legally issued order), or with an internal policy or procedure.
- Maintaining anonymity or confidentiality would interfere with the investigation, arrest, prevention, redress, or enforcement of discipline for the reported misconduct, and those to whom the information is disclosed have a legitimate need to know it in order to fulfill those responsibilities.
1.3 Reception and Investigation
All those submitting a report are expected to have adequate knowledge of the facts on which it is based, and therefore must disclose sufficient evidence of actual or suspected misconduct or inappropriate behavior on the part of the accused in the report.
As detailed in this policy, only reports of specific allegations related to reportable matters on this Channel will be answered. General complaints or suggestions will not be investigated.
All reports submitted to the Whistleblowing Channel are initially received by the RISO Whistleblowing Channel team (comprised of members of the RKCL and RKC Legal Departments). Upon receiving a report, whenever possible, the RISO Whistleblowing Channel representative will acknowledge receipt of the matter through the same channel to the person who raised the concern. Cooperation in discussing concerns raised through this channel is essential for the handling and proper resolution of the matter.
After reviewing a complaint, if the RISO Whistleblowing Channel team believes the allegations are true and constitute unethical or illegal activity, and if the report contains specific information and/or corroborating evidence, an investigation will be conducted. This investigation may involve different departments depending on their areas of supervisory responsibility or expertise.
1.4 Report retention
Information reported through the Whistleblowing Channel will be retained for as long as necessary to fulfill the purpose for which it was collected, including any related legal or disciplinary proceedings. Report retention periods will comply with applicable records retention and data privacy laws.

Information to include in the complaint
PURPOSE : To receive and track complaints about inappropriate conduct or behavior, such as demanding or accepting bribes, questionable accounting, fraudulent financial transactions, fraud, misuse of company funds or assets, abuse of power, theft, sexual harassment, non-compliance with company policies and/or the rights of RISO employees.
OBJECTIVE : To establish a monitoring mechanism so that all employees can report inappropriate conduct or behavior, as well as legitimate concerns or complaints without fear of punishment, retaliation or unfair treatment and, where appropriate, investigate and attempt to resolve the reported issues.
INSTRUCTIONS :

- Disclosure consent : I consent to the disclosure of my identity in order to further investigate this complaint and support the resolution of the reported problem.
- No disclosure consent : I do not consent to revealing my identity to anyone outside the Whistleblowing Channel team; however, I understand that not disclosing my identity may hinder the investigation and resolution of the problem.
- Anonymous : Identity not disclosed. I understand that anonymous reports can hinder the Whistleblowing Channel team’s ability to properly investigate and address the complaint.
2. Contact Information: Name, surname, company, department, email address, telephone number and best time to contact (do not provide this if completing anonymously)
3. What is your complaint about?: Fraud, Theft, Misuse of company assets, Bribery, Malpractice, Sexual harassment, Abuse of authority, Discrimination, Violation or falsification of accounting or financial reports, Leakage of data or important information, Any other problem related to inappropriate conduct .
4. Person(s) who committed the alleged misconduct. Department or office involved: Provide details of your allegations. Clearly state the subject of your complaint and provide names, dates, times, and locations. Also indicate how you became aware of the incident. Include a timeline of events, if applicable. And document your complaint with supporting evidence.
5. Indicate and specify if you have reported this matter to another person or organization
6. Specifically certify that all statements made in this complaint are true, complete, and correct.
7. Finally, write the date and, if it is not an anonymous complaint, sign and specify your name and surname.
